UNDERSTANDING RE: Committees/Assignments

  1. Committees/members assigned to listed officers report through those officers in communicating with the Board.
  2. Committees that hold meetings/discussions of committee activities should consider the named officer to be an ex-officio member of that committee and keep him/her informed of all committee activities/decisions. While committee Chairs may be invited to attend Board meetings specifically to present information re: their committee functions, the named officer remains the first point of contact to the Board for each committee.
  3. Members appointed to handle unique responsibilities on behalf of the Tri-Village Lions need not ask permission or report monthly on their activities to the named officer overseeing that assignment. However, assignees are encouraged to approach their Board contact whenever they have questions, concerns, or need assistance in some way to carry out those assignments.  The officer overseeing the assignment may ask for occasional summary information about their activities to be included in Board reports.

BUDGET

Set budget for current Lion’s year and present at the Board of Director’s meeting in August.

CHRISTMAS PARTY / VALENTINES PARTY / ANNUAL PICNIC

  1. Arrange meeting location.
  2. First business day in January, go to Parks & Recreation for Grandview or Upper Arlington for picnic reservations.
  3. Prepare decorations and table displays.
  4. Arrange for entertainment.
  5. Any event to be held off premises to be scheduled 3-4 months in advance.

COMMUNITY PROJECTS

  1. Scholarship for Grandview and Upper Arlington Students.
  2. Peace Poster Contest (District program).
  3. Little League Baseball sponsorship.
  4. Any other community activities as they come up.
  5. After each event – Submit a written report to the Secretary.

CONSTITUTION & BY LAWS

  1. Interpret Construction & By Laws.
  2. Responsible for rewriting and revising constitution when required.

CONVENTIONS

  1. Promote convention attendance to our members at meetings.
  2. Send in reservations and delegate information.
  3. Organize set up and supervise hospitality rooms as needed.

GET WELL

  1. Report on members and family members who are ill or are in the hospital.
  2. Order flowers.
  3. Obtain cards and pass around at meetings for members to sign.

GREETING

  1. Tail Twister and Lion Tamer fill this position.
  2. Meet and greet all members and guests.
  3. Make everyone welcome.
  4. Lion Tamer is to arrange to have two different people at each meeting to arrive early and serve as greeters.

LIONS INFORMATION

  1. At each regular meeting have a spotlight of organizations that we support (i.e. LCIF, Ohio
    Lions Foundation, Eyebank, Beep Ball, Pilot Dogs, CORRS, other international, state and
    District projects, community projects, etc.) or report on what is new from Lions
    International.
  2. Report information on individual Lion’s community service and other noteworthy activities.

MEMBERSHIP

  1. Greet and introduce guests.
  2. Keep accurate attendance roll.
  3. Contact members with low attendance (retention).
  4. Develop program for recruitment of new members.
  5. Recruit new members and help retain existing members.
  6. Report to Board of Directors.

MEMORIALS

  1. Arrange to have memorial nameplate engraved with deceased members name and installed on plague at Reed Road shelter house.

NEWSLETTER

  1. Write and deliver newsletters.

PARADES

  1. Grandview Memorial Day – Contact Parks & Recreation in March.
  2. Upper Arlington 4th of July – Contact UA Civic Association in March (they send registration packet to the previous year’s chairman).
  3. Arrange floats, cars, and signs as needed.
  4. Promote participation to members 2 months in advance.
  5. Sign up participants.
  6. After each event – Submit a written report to the Secretary.

PHOTOGRAPHER

  1. Take pictures at meetings and other functions.
  2. Send photo’s of meeting and club activities to web site administrator and newsletter editor.

PROGRAM

  1. Arrange for speakers on open meeting dates.

PUBLICITY

  1. Write news articles and take photographs for local newspapers.
  2. Develop good working relationship with local news media.

SIGHT CONSERVATION

  1. Research and approve requests for eye exams and glasses.
  2. Coordinate eyeglass collection program.
  3. Promote international site programs.
  4. Submit written reports to the Secretary.

TELEPHONE

  1. Appoint a committee of six callers.
  2. Commit to call all members for meetings and special functions – Report back to Chairman.
  3. Chairman calls in reservation to restaurant Tuesday morning before meeting.

VISITATION

  1. Promote group visitation to other District 13-F Lions clubs.
  2. Arrange to have required number of Lions to make visits.
  3. Visits should include a visit to our twin club.
  4. Make reservation with club that we are visiting.
  5. After each visitation – Submit a written report to the Secretary.

WEB SITE

  1. Keep web site up to date with upcoming fundraisers, public events, club activities, current officers, membership, and photo’s.
  2. Maintain calendar of events.
  3. Send reminder email messages of events and projects to club membership.
  4. Keep public informed of funds raised and dispursements.
  5. Submit a written report of site hits/visits and updates to the Secretary.
